Our website provides information about our glazing and joinery services and allows customers to submit enquiries and request quotations through our online contact forms.

When you complete an enquiry form, we collect the information you provide, which may include your name, email address, telephone number, property postcode, service required and details of your project. We use this information to respond to your enquiry, prepare quotations and arrange surveys or appointments where requested.

Our website enquiry forms are provided through Wix, which processes submitted information on our behalf.

We do not currently accept online payments or confirmed bookings through our website, and we do not use enquiry form details to send marketing messages.

How we use your information

Information we collect

We collect the information you give us when you contact us, request a quote or arrange work. This may include your name, telephone number, email address, billing and installation addresses, details of the work, measurements, photographs you provide, correspondence, quotes, invoices and payment records. We may also receive relevant details from someone arranging work on your behalf, such as a landlord, managing agent or contractor.

Why we use it

We use your details to answer enquiries, prepare quotes, arrange surveys and appointments, carry out work, invoice you and provide aftercare. Our lawful basis is taking steps at your request before entering a contract, or performing our contract with you.

We keep records needed for tax, accounting and applicable regulatory requirements because we have legal obligations. We also rely on legitimate interests to manage business enquiries and business customer relationships, organise our work, protect our systems, recover money owed and deal with complaints or legal claims. We consider your rights when relying on these interests. Where consent is required for a particular use, we will ask for it and you can withdraw it.

You do not have to give us personal information, but without the necessary contact, property and job details we may be unable to provide a quote or carry out the work.

Who receives your information

We share relevant information only where needed for these purposes: with staff and subcontractors carrying out your job; suppliers or delivery providers involved in your order; our website, email and IT providers, including Wix; Xero and our accounting advisers for financial records; and banks or payment providers for payments handled outside this website. Where applicable, we also share details with certification or warranty providers, including FENSA, and with insurers, professional advisers, HMRC or other authorities where necessary or legally required.

Keeping information

We keep information only for as long as needed for the reason it was collected. We consider whether an enquiry is still active, whether work or aftercare is ongoing, applicable accounting and tax requirements, warranty periods and the time needed to establish or defend legal claims. Information no longer needed is deleted or anonymised. You can contact us for the retention period applicable to your records.

Security and overseas processing

We use appropriate technical and organisational measures to protect personal information and restrict access to those who need it. No website or email system can be guaranteed completely secure. Providers such as Wix may process information outside the UK. Where a restricted international transfer takes place, we use a recognised adequacy decision or appropriate contractual safeguards, as required by UK data protection law. Contact us for information about the safeguards relevant to your data.

Website privacy and your rights

Website technology and cookies

Our website is hosted by Wix. When you visit, Wix and providers of embedded features may receive technical information such as your IP address, browser and device details, pages requested and access times. Information needed to deliver and protect the website is used for our legitimate interests in operating a secure, functioning site.

Our pages include Google Maps and Checkatrade content and links to social media or messaging services. These providers may receive technical information when their content loads or when you use their services. Their own privacy notices explain their processing. Cookies and similar technologies may be used to provide site functions and embedded content. Browser settings let you block or delete cookies, although some features may then stop working. Any non-essential cookies or tracking requiring consent must be controlled through appropriate consent settings; a privacy policy alone does not provide that consent.

Your rights

Depending on the circumstances, you can ask to access your personal information, correct it, erase it, restrict its use or receive a portable copy. You can object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful processing. These rights are subject to legal conditions, and we may need to retain some information to meet legal obligations or deal with claims.

Please contact info@claptonglassandjoinery.co.uk to make a request. We may need to check your identity. We normally respond within one month, subject to lawful extensions or pauses, and will explain if these apply.

If you have a concern, please contact us so we can investigate. You can also complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at www.ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We will update this page if our services or use of personal information changes. The date at the top shows when this policy was last updated.
